Position Summary:

The Development Services Coordinator is responsible for accurately processing all gifts, completing thank you letters, and recording donation information in Salesforce, as outlined in Water4’s gift acceptance policy. This role will act as the donor database specialist with a strong focus on data analysis, working to identify trends, and notifying the Development department of opportunities to enhance fundraising. This role will implement the cultivation and stewardship of entry-level donors and will maintain and manage a portfolio within a specific gift range.

The Development Services Coordinator also supports general Development efforts by assisting with donor stewardship activities, organization and support of events, prospect research, and donor-facing communications. This role also provides complex and confidential administrative support to the Senior Director of Development. Requires ability to gain in-depth knowledge of Water4 operations, liaise effectively, lead, and manage time effectively.

Donor Database Management & Gift Processing:


  • Lead and Administer all Salesforce usage including donor and prospect research, report creation, engagement plan creation templates, KPI updates, etc. This may include special projects with external databases
  • Provide ongoing donor records & Database maintenance and stay informed on Salesforce updates and opportunities for better use by the Water4 team
  • Process and record into Salesforce all gifts and thank you letters within two days of receipt, ensuring that all thank you letters are printed by in-office staff and mailed in a timely manner. Initiate contact and assist in solving problems for donors when they encounter gift processing issues
  • Be knowledgeable and up-to-date on global giving trends. Serve as lead for the development department in the review of data and identification of internal patterns and trends, signal opportunities for growth and gaps that impact fundraising
  • Provide on-boarding and training to Development staff on Salesforce usage, policies, and procedures
  • Ensure the successful rollout of the Development Plan

Donor Outreach:

  • Conduct “Thank You” phone calls and other donor stewardship activities
  • cultivation and stewardship of entry-level donors, maintaining a portfolio within a specific gift range
  • Represent Water4 to the public on the phone and in-person
  • Ensure that all donor-facing giving platforms are functional and easy to use for donors by partnering with appropriate internal staff and external vendors to identify and solve problems
  • Special projects as assigned

Qualifications & Education Requirements

  • Bachelor’s degree required (relevant experience commensurate with job duties will be considered if the candidate does not possess a bachelor’s degree)
  • 1-3 years of relevant experience in a similar public-facing role, as well as comfort working with computers and technology.

Preferred Skills

  • Demonstrated behavior conducive to contact with high-level donors
  • Must be proficient in computers and technology including Salesforce, MS Word, Excel, Power Point, Outlook, and the Internet
  • Excellent verbal and written communication skills, are required.
  • Ability to work independently and excellent organizational skills, required

  • Establish and maintain effective working relationships with employees, other organizations with which the Office works, financial partners and prospects, and the public
